All bookings made through this website and the resulting contractual relationships are entered into with Nepal Inside Out Treks & Tours Pvt. Ltd., located in Kathmandu, Nepal.

These terms and conditions govern the relationship between you, our client, and us, the travel agency Nepal Inside Out Treks & Tours Pvt. Ltd.

These terms and conditions and the contract are governed by Nepalese law.

BOOK A TRIP / BOOKING CONFIRMATION

A “Trip” refers to a product, itinerary, or activity that you purchase from us, such as trekking, tours, other trips, expeditions, and/or other offerings as listed on our website.

To finalize your booking, please submit the completed online booking form. You will then need to pay the deposit.

Your booking request will be confirmed with an invoice, which you can expect to receive in your inbox within 5 to 7 business days after submitting the booking form. By submitting the booking form, you automatically confirm that you have read and understood these terms and conditions (which can be viewed prior to booking via the link provided in your quote) and that you agree to them.

By submitting or sending the booking form, you agree that our agency, the group leader, or the guides have full authority to make decisions on behalf of an individual or a group in the interest of general health, safety, or well-being.

Changes to travel arrangements

Would you like to make a change after booking your trip? We’ll check if this is possible and take the necessary steps to make it happen. Please note that additional fees may apply.

Under no circumstances can we be held liable for the consequences of any strikes, industrial actions, wars, riots, illness, quarantine, government intervention, weather conditions, or other cases of force majeure that affect your booking.

PAYMENT

Advance payment

When you book your trip, you’ll pay a deposit of 20% of the total trip cost, including domestic flights. For last-minute trips, this may be the full amount if the trip takes place within 4 weeks. This will be clearly stated in your travel proposal. We expect this payment within 7 business days of sending the invoice. Your booking is not final until we have received the deposit.

All payments are made by bank transfer. The details of the bank account to which you can make your payment are listed on your invoice. We have a EUR account to which you can make your payment.

Payment of the balance

You must pay the remaining amount (80%) at least 4 weeks before the start of your trip with us in Nepal. We will not send a second invoice for payment of this balance.

If we do not receive these funds, or do not receive them on time, we reserve the right to cancel your reservation.

YOUR RESPONSIBILITIES

Visas and international passports (international travel documents)

Make sure you have a valid passport that remains valid for at least 6 months after the end of your trip. You will need a visa to travel to Nepal. You can easily obtain one through the Nepalese Embassy or Consulate in your home country, or upon arrival in Kathmandu. It is your responsibility to ensure you have the necessary visa.

Insurance

Nepal Inside Out does not offer travel or cancellation insurance.

Valid travel insurance with adequate coverage is mandatory for all our travelers. Your travel insurance must cover accidents, injury, illness, and death; medical expenses, including pre-existing medical conditions; emergency repatriation (including helicopter rescue and air ambulance transport); and your personal liability. We reserve the right to cancel your trip or refuse your participation, without the right to a refund, if you are unable to provide us with proof of your travel insurance.

We also recommend travel cancellation insurance or insurance to cover the loss of your luggage and personal belongings.

We cannot be held liable if you die, sustain an injury or illness, fall ill, or suffer emotional, psychological, or other harm during your trip.

Medical conditions and special requirements

You must notify us in writing, no later than at the time of booking, of any medical condition, physical disability, or other mental or physical condition that may affect your ability to travel. If you fail to do so and we determine on site that you are unable to commence the trip as a result, we may refuse to allow you to participate in the trip, without any right to a refund.

Some trips in Nepal may not be suitable for you due to your age, mobility, pregnancy, physical or mental health conditions, or a lack of experience in the case of very strenuous treks. It is your responsibility to review and assess this before booking.

Do you have any special requests? We can discuss them. We will do our best to accommodate them, but they are not part of our travel agreement.

CANCELLATION POLICY

General Cancellation Policy.

To cancel your booking, please send an email to our agency, and we will confirm receipt. The date we receive your cancellation request is the date used to calculate your cancellation fee.

The following cancellation fees apply:

1. If you leave the trip voluntarily after it has begun, you will not receive any refund. Similarly, if you do not use certain services during the trip (e.g., activities, lodging, transportation, meals, etc.), you will not be reimbursed for them.

2. If the travel agency cancels the trip, you are entitled to a refund of all amounts paid to us. If the cancellation is due to circumstances beyond the travel agency’s control and is covered by travel insurance, you will not receive a refund. You cannot claim compensation for loss of enjoyment or any other reimbursement for costs already incurred.

3. If you cancel your trip up to 28 days (4 weeks) before departure, we will retain the 20% deposit you have paid to cover the costs we have already incurred in preparing for your trip. The remaining amount (80%), if already paid to us, will be refunded as soon as possible.

4. If you cancel your trip between 28 and 14 days before departure, you will forfeit 50% of the trip cost, and we will refund the remaining 50%.

5. If you cancel between 14 and 7 days before arrival, you will lose 70% of the total amount and will therefore only receive a 30% refund.

6. From 7 days prior to arrival, the cancellation fee is 100% and we do not issue refunds.

We strongly recommend that you take out cancellation insurance when you book your trip.

FLIGHT DELAYS AND CHANGES TO ITINERARIES

Domestic flight delays

Being in the mountains is always an adventure, and the weather there is very unpredictable. Bad weather in mountainous areas can cause delays to your domestic flight.

In the event of a delayed domestic flight on departure, we will arrange overnight accommodation for you, as specified in your itinerary. No refunds will be issued.

In the event of a delayed return flight, we will only cover the cost of your accommodation if you booked it through us after your flight. If this is not the case, you will need to pay for your accommodation yourself.

If you would like to make alternative arrangements to compensate for your flight delay, such as a helicopter flight or a jeep tour, any additional costs will be at your own expense and must be settled on the spot.

Under no circumstances are we liable for any additional costs should you miss your international flight as a result. However, we will help you find the best possible solution.

Changes to your itinerary

Our agency and our guides do their utmost to ensure that you achieve all your travel goals and that your trip goes according to plan.

However, Nepal is a country undergoing rapid development. You should therefore bear in mind that changes to your itinerary are always possible due to unforeseen circumstances (e.g. strikes, landslides, weather conditions, etc.). In the event of changes, we will offer an equivalent alternative, but we do not issue refunds.

COMPLAINTS

If you have a complaint or are dissatisfied with anything during your trip, please report this immediately in person to your guide or tour leader. They will then try to find an acceptable solution straight away.

If you are travelling without a guide, please send an email or a message via WhatsApp to our agency as soon as possible.

If you feel that the solution offered is not satisfactory or if you are still unhappy, please put your complaint in writing and hand it to your guide or group leader, or email it to us.

We aim to find a solution that suits you on the spot, which is only possible if you notify us in writing in good time.

However, if you feel that your complaint was not adequately addressed during your trip, please email your complaint to us at nepalinsideout@gmail.com. You must do so within 28 days of the last day of your trip.

PRIVACY POLICY

Data protection

We take every care to protect all personal data we receive from you for the purpose of organizing your trip. We use online security measures to protect our electronic system against the loss, misuse and alteration of personal data stored within it.

Sharing and use

We do not share, sell or rent out individual personal information without your prior consent, unless required to do so by a court order. Personal information provided to us is accessible only to our employees and our suppliers. The latter are also not permitted to use your data for any other purposes.

Mailings

There are two reasons why you might receive an email from us:
(a) your email address is listed with us as belonging to someone who has expressly provided it for the purpose of receiving information in the future (“opt-in”), or
(b) you registered with us when requesting a travel quote or when booking a trip with us.
We limit the frequency of our general information emails to a maximum of six times a year.

If you no longer wish to receive emails from us, simply send us an email asking to be removed from our mailing list. We will take the necessary steps straight away.
